Tamarindo Open Water Swim Retreat
Terms & Conditions (2026)
The policies that regulate the second edition of our all-inclusive Costa Rica Swim retreat in the perfect place for women and men of all ages and abilities to experience the luxury, fun, warmth, and adventure of this beautiful country.
Booking & Payment
- A non‑refundable deposit of 30% is required to reserve your spot. Spaces are limited and secured in the order payments are received.
- Early Bird pricing is available until 02/28/2026 at 23:59 (local time).
- The remaining balance is due 60 days before the retreat start date. If the balance is not paid by the due date we may release your spot and retain your deposit.
Cancellation, Refunds & Transfers
- All payments are non‑refundable.
- If you cancel 45 days or more before the retreat start date, 50% of your payment may be issued as credit toward a future retreat (valid for 12 months from the original retreat date).
- Cancellations within 45 days of the retreat start date are not eligible for credit or refund.
- Bookings may be transferred to another participant at any time; notify us in writing. Any price difference between bookings is payable as applicable.
Optional Race Entry
- Race entry (1.5 km, 3 km, 5 km) is optional and requires separate registration and any organizer fees. We can assist with registration but are not responsible for race organizer policies or refunds.
Inclusions & Exclusions
- Inclusions: as advertised on the retreat page (e.g., structured open‑water workouts, coaching, safety supervision, selected meals, accommodations, instructor‑led activities, digital photo album, transfers where specified).
- Exclusions: personal travel insurance, optional extras, personal expenses, and items not expressly listed as included.
Health, Fitness & Safety
- You must disclose medical conditions, medications, allergies, or fitness limitations at booking and complete all required waivers before participation. We may require a physician’s clearance for certain conditions.
- All ocean sessions are supervised by certified ocean lifeguards and coaches. Participants must follow staff instructions; failure to comply may result in removal from activities without refund. Required safety equipment must be used when requested.
Insurance & Liability
- Participants are strongly advised to have valid travel and medical insurance covering open‑water activities, emergency evacuation, and trip cancellation.
- By booking you accept the inherent risks of open‑water activities. Swim Retreats Costa Rica, Vamos Youth, Vamos Ocean Racers, staff, partners, and suppliers are not liable for loss, injury, or death except where liability cannot be excluded by law.
Program Changes & Force Majeure
- We reserve the right to modify itinerary elements (venues, coaches, accommodation, times) for operational, safety, or weather reasons. Participants will be notified promptly.
- If the retreat is canceled due to force majeure (natural disaster, pandemic, government action, extreme weather, etc.), we will offer credit toward a future retreat or, where possible, a partial refund subject to recoverable supplier costs.
Photography & Media
- We may photograph or film activities for marketing. By participating you grant permission for use of images and footage unless you notify us in writing prior to the retreat.
Code of Conduct
- Participants must act respectfully toward staff, fellow guests, and local communities. Abusive, dangerous, or illegal behavior may lead to immediate removal without refund.
Privacy & Data Use
- Personal data provided at booking will be used to administer your booking and for health & safety. We will not share personal data with third parties except as necessary for bookings, race entries, or legal obligations. See our privacy policy for details.
Changes & Contact
- Requests for booking changes, transfers, or special requirements must be submitted in writing to our bookings team. Additional fees may apply. For current pricing, availability, and payment instructions contact us via the details on our website.
Governing Law
- These terms are governed by the laws of Costa Rica. Any disputes will be dealt with in the local jurisdiction unless otherwise agreed.
